POSITION SUMMARY:

The Scheduling Coordinator is responsible for monitoring daily call volume and recommends appropriate staffing changes, time keeping and take measured actions as needed. The Scheduling Coordinator works closely with the Staffing Manager to review schedule requirements, implement and manage the staffing programs and administer schedule changes. The position also administers all Sub/Switch requests on a daily and weekly basis. The Scheduling Coordinator works very closely with the Supervisor team to make up-to-the minute staffing recommendations during their shift.

 

Schedule is Tuesday-Saturday  4pm-12:30 am

Responsibilities

ESSENTIAL FUNCTIONS:

  • Primary Duties & Responsibilities:

  • Accurate, Timely and Documented system schedule edits
  • Interoperate, recommend, adhere and implement policies  
  • Maintain cross documentation and entry between systems & databases to accurately record attendance occurrences, benefit usage and other transactions
  • Complete daily recording of call statistics, scheduling compliance, tardiness, absences and missed time punches
  • Coordinate with Payroll on paycheck and time keeping balancing & disputes
  • Maintain the scheduling programs to accurately project call volumes, staffing coverage’s and breaks/lunch schedules
  • Process documentation and system updates for new hires, agency representatives and resignations across all systems
  • Evaluate daily call volume trends and process schedule changes, time off requests for all hourly employees
  • Plan and schedule team meetings, special events, training, one-on-ones and cross functional supports
  • Accurate, Timely and Documented phone routing and change in skillset assignments to provide the best service coverage
  • Recognize call trends and take self-directed action to reduce staff and payroll costs to provide the best service coverage
  • Ensure all documentation is distributed in a timely manner
  • Provide department level call statistics and performance feedback with future recommendations and negotiations to create the best fit in service level goals

Qualifications

MINIMUM QUALIFICATIONS AND SKILLS:

  • Excellent interpersonal skills (approachable)
  • Basic math skills
  • Able to work independently or within a group
  • Able to multitask and prioritize
  • Sound judgment, common sense, negotiation and decision making ability
  • Good working knowledge of Microsoft Office Suite including, Excel and Word
  • Good written and oral communication skills
  • Accuracy in 10 key data entry
  • Effective listening and problem solving skills
  • Ability to maintain professionalism and composure under pressure
